Exports

How do I export my stock and sales from Shopify?

You need two files from your Shopify admin: your products, which hold stock and cost prices, and your orders, which hold your sales. Both start from an Export button, and Shopify emails you both when you export everything.

Your products

  1. In your Shopify admin, go to Products and click Export.
  2. Choose All products, then Plain CSV file.
  3. Click Export products. Shopify emails you the file.

Your orders

  1. Go to Orders and click Export.
  2. Choose Orders by date, and set the dates to cover the last 12 months.
  3. Under Export as, choose a CSV file, then click Export orders, not Export transaction histories, which holds payments rather than products.

Shopify emails you this one too, and a big export can take a while. Twelve months matters: a product last sold eight months ago looks as if it never sold when your file only goes back three. It also covers the longest look-back Verity offers, 365 days.

If you sell from more than one location

Shopify’s product file only holds stock for a store with a single location. With more than one, your stock comes from a third file, the inventory export:

  1. Go to Products, then Inventory, and click Export.
  2. Under Export from, choose All locations. Under Inventory states shown, choose All states.
  3. Choose All variants, then click Export inventory.

Verity asks whether to add a product’s locations together or use one of them. This file has no cost prices, so copy Cost per item across from your products file, matching on SKU. Without a cost, a product’s value says “no value”, never €0.

What Verity reads from each

Verity finds these by their headings, so there is nothing to rename or put in order.

FileColumns it reads
ProductsSKU, Title, URL handle, Option1 value, Type, Vendor, Status, Price, Cost per item, Inventory quantity
OrdersName, Created at, Lineitem SKU, Lineitem quantity, Lineitem price, Canceled at
InventorySKU, Title, Option 1 Value, Location, On hand (current)

Your customers’ details

Your orders file also holds your customers’ names, emails and addresses. Verity doesn’t need them: it reads the columns above, and has nowhere to keep the rest. If you’d rather they never left your computer, delete them before you upload: Email, Phone, every Billing and Shipping column, and Notes. Verity reads the file the same way without them.

What to watch for

  • A product with no SKU. Shopify allows it, but Verity matches a sale to its product by SKU, so the import leaves that product out and lists it.
  • A product Shopify doesn’t track. It has no quantity to read, so it is left out and listed too.
  • Cancelled orders and refunds. A cancelled order sold nothing, so all its lines are left out, and the import says how many. A refund stays a sale, because the file doesn’t say which line it was for.
  • Exporting again. Do it whenever you like: an order imported twice counts once.

Verity’s accounts aren’t open yet. Reserve a founding place to bring these files in among the first ten shops, or take the tour to see what they become on an example shop.
